TERMS & CONDITIONS AND REQUIRED TRAVEL DOCUMENTATION

CONDITIONS OF SALE

Please ensure that the spelling of all names is correct and corresponds to the names listed on your PASSPORT with an expiry date of 6 months following your travel date. The exact spelling will appear on your ticket(s) and vouchers. Your passport should have sufficient pages for any required visas immigration stamps. Please note that entry to another country may be refused even if the required information and travel documents are complete.

It is the responsibility of you/passenger to ensure that you have the appropriate documentation (passport, visa, permanent resident card, etc.) to gain entry to the chosen destination and re-entry into Canada upon your return. CG Journeys cannot be held responsible should you be denied entry to a specific country. Please contact the local Embassy of your travel destination and airline for proper documents required.

All travellers should check with the airline directly for check-in or cut-off times as the airline’s suggested timings are guidelines only and are subject to change without prior notice.

We highly recommend that all passengers purchase of Travelex Travel insurance prior to departure to have coverage. CG Journeys cannot accept any responsibility for pre-existing or new health conditions, missed or delayed flights, incomplete travel documentation or damaged or lost luggage.
By your payment to CG Journeys for travel services purchased by you/passenger, you acknowledge that you have reviewed, understand and accept our terms and conditions in their entirety without modification whether or not the appropriate documents have been signed.

You/Passenger have been advised:
a) although every effort will be made to inform you of the relevant local laws, customs and travel documentation, it is the responsibility of the traveler to be aware of and prepared for all legal, documentation, health and other requirements for your intended travel.
b) that travel services you have purchased through our travel counselors are supplied by third parties and that you are aware of and understand such suppliers’ terms and conditions of sale and in particular, but without limitation, those terms and conditions pertaining to cancellation.
c) that our travel counselors  act solely as agents  for the travel suppliers named on your itinerary and invoice.
d) confirm and we have relied on your confirmation that as the booking or instructing passenger, you have the legal capacity and authority to book travel services on behalf of yourself and of other persons. You will keep your travel counselor informed of any changes to your travel plans or contact information.
e) of the availability of travel insurance coverage and have either purchased or expressly declined   such insurance coverage.
f) that any travel product or service that customers acquire through CG Journeys results in a contractual relationship between the Customer and the Tour Operator/Airline. CG Journeys acts as an agent for the Tour Operator/Airline which is providing the Customer with travel products or services purchased from CG Journeys.
g) CG Journeys selects Tour Operators, Hotels, Cruise lines, Airlines and Car rental companies that are reputable, and if customers encounter any sort of dissatisfaction with the product or service provided by a particular Tour Operator, Hotel, Cruise Line,  Airline or Car Rental Company, please feel free to advise ACG Journeys, but as well, be advised that under no circumstances does ACG Journeys accept any legal responsibility or liability for any complaints with the product or services provided by Tour Operators, Hotels,  Airlines and Car rental companies. For more information regarding the terms and conditions governing the contractual relationship with a Tour Operator, Hotel, Cruise Line, Airline or Car Rental company, customers should reference the information contained in their brochures or websites.
h) CG Journeys will not be responsible for the acts or omissions of any person other than our agency or employees acting properly on our behalf within the scope of their agency or employment.
i) CG Journeys shall not be liable for any damages due to illness, theft, labour dispute, acts of God, mechanical breakdown, equipment failure, quarantine, rescheduling, government action, war, insurgency or act of terrorism or other event beyond our control.
j)  The Tour Operators, Hotels, Airlines, Cruise Line or Car Rental Company named in any invoices are independent parties over which we have no direct or indirect control. We are not responsible for their acts or omissions. We assume no responsibility for any claims, losses, damages, costs or expenses arising out of any personal injury, accident, death, loss, damage, delay, loss of enjoyment.
k) CG Journeys shall not be liable for non-performance, negligent performance or deficient performance by any supplier of travel services named herein or otherwise.
l) Some hotels may charge a  local tax or extra fee  (i.e.,  Resort fee).  This fee must be paid locally at the hotel upon check-in/check-out by the traveler.
m) No employee, travel counselor or representative of CG Journeys has the authority to modify, waive or alter in whole or in part these CONDITIONS OF SALE.

SPECIAL REQUESTS

Special requests must be advised at the time of booking. All Special Requests such as a rooms on special floors, location of or room views, etc., cannot be guaranteed by the Tour Operator,  Hotel, Cruise Line, Airline or Car rental company. While they will attempt to accommodate such requests, CG Journeys cannot be held responsible if special requests are not fulfilled. Additionally, failure to meet special requests will not constitute breach of contract by CG Journeys. Additional costs associated with special requests may apply and will be the responsibility of the traveler.

Please inform us at time of booking of any special service needs and requirements due to medical conditions and/or disabilities. All travelers must ensure that they are medically and physically able to travel. CG Journeys reserves the right to accept or decline any participant, based on their sole judgement, who require attention and care beyond that which can be provided posing a direct threat to their health or safety.

CREDIT CARD PAYMENT

Your authorization to use your credit card to pay for travel services reserved indicates your acceptance of terms and conditions as set out by CG Journeys and those of the Airline, Tour Operator, Hotel, Cruise line or car rental company’s travel services you have purchased through our website, over the phone or in person at CG Journeys, regardless of signing a credit card charge form. By providing CG Journeys with authorization to use your credit card to pay for travel services you are confirming that you will pay the total amount charged for those services to the card issuer according to your cardholder agreement. Simultaneously, the Airline, Tour Operator, Cruise Line, Hotel or car company may require the cardholder to present the original credit card used as payment at check-in. Failure to present original credit card may result in the requirement to purchase a new ticket or vacation package. A letter of agreement signed by the credit card holder must be kept on file by CG Journeys authorizing the use of said credit card without signature.
Reservations are not guaranteed until ticketed. Reservation and pricing is not guaranteed until credit card check is complete. Reservations, Fares, Prices and Taxes are not guaranteed until the payment has been successfully charged to a major acceptable credit card to the supplier including but not limited to tour operators, airlines, cruise lines, hotels, car rental companies and and other service providers.

Certain airlines do not accept credit card as form of payment for a flight ticket purchased, in which case you are authorizing CG Journeys to charge your credit card under our merchant account, and agree to pay in addition to your total purchase price a 3% payment processing fee. You will be advised of the 3% payment processing fee by a travel counselor via phone, email or in person as may be applicable.

CG Journeys acts as a Retail Agent on behalf of the Tour Operator,  Airlines, Hotel, Cruise Line and car company and as such, the Airline, Tour Operator, Hotel, Cruise Line and car rental company’s name will appear as the vendor on your credit card statement, not CG Journeys. Furthermore, by authorizing the use of your credit card number to pay for travel services, you agree to not chargeback your payment.

CANCELLATIONS, CHANGES AND REFUNDS

No refund is made for unused travel services or any portion thereof, nor is the price or value of unused travel services exchangeable for alternative arrangements. Changes to the current booking are subject to the TERMS AND CONDITIONS as per the TOUR OPERATOR, AIRLINE, HOTEL, CRUISE LINE OR CAR COMPANY  and as stipulated in the brochure or Tour Operator,  Airlines, Hotel, Cruise Line and car company websites. You are encouraged to purchase the appropriate travel insurance coverage. CG Journeys reserves the right to apply an administrative charge for cancellations or changes to bookings over and above the penalties applied by our supplier partners.

CURRENCY EXCHANGE RATES

Some charges may be processed in a foreign currency by a supplier (airline/hotel/tour operator/cruise line/car rental company) depending on the nature of the booking. Please be aware that prices which include foreign currency conversion are approximate amounts only until the transaction has been processed and charged to your credit card. CG Journeys reserves the right in the case of invoice error to re-invoice with correct pricing which may be the result of an international event. In case of a computer or human billing error we reserve the right to re-invoice the passenger with the correct billing amount until the transaction has been processed and charged to your credit card.

DOCUMENTATION INFORMATION

All Canadian citizens including infants/children must carry a valid Canadian passport when travelling abroad. A passport must be valid for at least 6 months after the scheduled date of departure from the last country visited, regardless of the entry requirements of the country. Information on Canadian passport applications is available from Passport Canada www.pptc.gc.ca. If your passport is damaged in any way, you may be denied boarding and will be responsible for all costs associated with a new passport and replacement travel arrangements.

It is the responsibility of you/passenger to be aware of, obtain and ensure the currency and validity of all documentation required for this trip. Such documentation may include a passport, visas, tourist cards, and affidavit for minor children, any vaccinations that may be required and other documents.

BAGGAGE

Transport Canada has announced the following restrictions on carry-on baggage.

Containers of liquids, aerosols or gels in your carry-on must be 100 ml/100 grams (3.4 oz) or less.

All containers must fit in 1 clear, closed, re-sealable plastic bag no more than 1 litre (1 quart) in capacity. The approximate dimensions of a one litre/quart bag are 15.24 cm by 22.86 cm (6 in. by 9 in.) or 20 cm by 17.5 cm (8 in. by 7 in.).

At the screening point, take your plastic bag out of your carry-on and place it in one of the provided trays.

Drink or discard any beverages in containers over 100 ml before pre-board security screening.

Any containers over 100 ml should be placed in checked baggage.
Exceptions for liquids, aerosols and gels:

The following are allowed in your carry-on without a bag and in containers over 100 ml:
If traveling with an infant under two years of age (0-24 months), baby food, milk, formula, water and juice in small containers and reasonable amounts for your itinerary.
Prescription and essential non-prescription medicines.

You must declare all such items at security screening. These items must be removed from carry-on baggage and placed directly into a bin at the entrance of the checkpoint, as additional screening may be required.

INSURANCE

CG Journeys reminds you that government health insurance plans may only pay a portion of the expenses incurred for emergency out-of-province hospital or medical services. You may be faced with medical bills in the event of an unforeseen illness or injury during your trip. Please note that based on the terms of the supplier your booking may also be 100% non-refundable. Without Medical, Trip Cancellation and Interruption Insurance, you lack the financial protection you need. In the event you have to cancel or interrupt your trip as a result of unforeseen circumstances, we strongly recommend the purchase of Travel Insurance to protect you from these financial losses. Certain countries require foreign visitors to have valid medical insurance upon entry. CG Journeys cannot be held responsible if a passenger is denied entry for being unable to provide details of such insurance to the applicable authorities.  Should you require medical attention it will be at a local facility at the expense of the traveler. CG Journeys is not responsible for any costs incurred as a result of medical services nor the quality of medical care you receive. Once paid, the premium becomes non refundable. If insurance is declined, a signed waiver will be required.

TRAVELING WHILE PREGNANT

In the event you have entered your 32nd week of pregnancy, we recommend that you carry with you a letter from your doctor, stating the pregnancy is uncomplicated and confirming the expected date of delivery. In this letter, your doctor should state that you are in good health, and that (in their opinion) there is no reason why you cannot fly. CG Journeys strongly recommends you contact the airline in advance of flying to confirm the regulations as outlined in their policy.

All Cruise lines will NOT accept guests who have entered their 24th week of pregnancy by the beginning of, or at any time during the cruise or cruise tour. A physician’s ‘Fit to Travel’ note is required prior to the sailing, stating how far along (in weeks) your pregnancy will be at the beginning of the cruise. CG Journeys recommends you visit the cruise line website prior to sailing to confirm the regulations as outlined in their policy.

AIRPORT CHECK-IN, RECONFIRMATION/SEAT SELECTION NUMBERS

Seats are allocated on a first-come, first-served basis. All passengers should arrive at the airport at least 3 hours prior to flight departure. Check-in opens at least 3 hours prior to the flight and closes 1 hour prior to departure. For security reasons, all passengers must be present for check-in. You will not be allowed to board, nor will you be entitled to a refund, if you have not checked-in by the minimum airline requirement. It is your responsibility to contact the airline and reconfirm your flight times 12 to 24 hours prior to departure. If CG Journeys is aware of a change, every effort will be made to advise you directly.

CG Journeys strongly recommends you visit your local airport authority’s website for all departure and arrival information.

AIRPORT ONLINE CHECK IN

Many airlines servicing Toronto’s Pearson Airport offer the convenience of online check-in for your flight, your seat and subsequently printing your boarding pass from the comfort of your home.  To start web check-in please select your airline’s website and proceed.

DEPARTURE TAXES

Some destinations charge a fee to all passengers when they are departing. This is called a departure tax and in most cases it is not paid in advance, but at the airport when checking in for the return flight. Please refer to your e-documents which will outline any and all applicable fees to be paid locally by the traveler.

CHILDREN TRAVELING WITH PARENTS

Children must be in possession of a valid passport when traveling abroad with parents. For domestic travel, children under 18 years of age must present a birth certificate, health card, passport or other government-issued identification. The same rules that countries set for adults requiring passports apply for children. If the child is traveling with only one parent, a notarized letter is required giving the parent permission for the child to travel unless the parent has sole custody and provides documentation proving so.

The age at which a person is considered a child varies from country to country. Please call the appropriate consulate if they are:
Under 18 and traveling without their parents
Traveling with someone who is not the child’s parent (friend, uncle, brother etc.) or legal guardian.

CHILDREN TRAVELING ALONE

Unaccompanied Minor (UM) service ensures that children travelling alone receive the best of care, and are escorted by highly-trained airline staff from the moment they arrive at airport check-in until they reach their destination. It is the responsibility of the parent to contact the airline directly or CG Journeys to let them know their child will be travelling alone. All details about the Unaccompanied Minor service and the procedures must be reviewed prior to arrival at the airport.

TICKET & E-DOCUMENT PICK-UP

A web-link is sent prior to departure to the email address given at time of booking, along with instructions on how to retrieve your e-documents online provided your reservation has been paid in full.

Please ensure that you contact the airline at least 24hours prior to departure and on the day of your departure for any schedule changes and confirmation of your flights.
